Turn the message you need to communicate into a clear, appropriately addressed document.
Decide what the reader needs to know
Identify the recipient, the reason for writing and the action you are requesting or recording. A useful letter has a clear subject and keeps the main point close to the beginning.
Prepare the details
Gather names, addresses where needed, the date, references and relevant background. Keep the tone appropriate to the relationship. Use a specific date rather than a relative expression such as “next week” where ambiguity matters.
Make the next step clear
Explain what should happen next, who should respond and how to contact you. Include a deadline only when it is accurate and appropriate. Check that attachments mentioned in the text are actually included.
Check the significance of the notice
Some notices or letters can affect important rights or obligations. A generic layout cannot establish the correct wording, timing or delivery method for every situation. Obtain appropriate advice for formal legal, employment or other high-stakes notices.
