This Privacy Policy explains how KenyaDocMaker collects, uses, stores and protects personal information when you use kenyadocmaker.com, create an account, prepare documents, contact support or pay for a plan.
Who operates KenyaDocMaker

Information we collect
Depending on how you use the service, we may collect:
- account information such as your name, username, email address and password in protected form;
- business details and document content you enter, including customer or supplier information, line items, amounts, references, dates and notes;
- payment information such as the M-Pesa phone number, transaction code, amount, plan, payment status and time;
- support messages and the contact details you provide; and
- technical information needed for security and reliable operation, such as IP address, browser type, device information, login records and error logs.
Please enter only information you are authorised to use. Do not include unnecessary sensitive information in a generated document.
How we use information
We use information to provide document generation, previews, saved-document history, PDF and Word downloads, customer accounts, subscription access, payment verification, receipts, support, security, fraud prevention, backups and service improvement. We also use records to comply with legal, accounting and dispute-resolution requirements.
Processing is based on providing the service you request, legitimate interests in operating and securing the service, compliance with legal obligations, and consent where Kenyan law requires it.
Service providers
KenyaDocMaker uses service providers only where necessary to operate the website. These may include the website hosting provider, WordPress software and plugins, Safaricom Daraja/M-Pesa for payment processing, and the configured email-delivery provider for transactional and support email. Each provider receives only the information needed for its function. Some technical providers may process or back up information outside Kenya subject to contractual, security and legal safeguards.
We do not sell personal information. We may disclose information where required by law, to protect users or the service, or during a lawful business transfer.
Document storage and retention
Saved documents remain in the customer’s account until the customer deletes them or the account is closed, unless retention is required to resolve a payment, security or legal matter. Deleted information is removed from active systems and may remain in routine backups for up to 30 days where technically practical.
Payment, accounting and security records may be kept for the period required by Kenyan law and ordinarily for up to seven years. Support records are ordinarily kept for up to two years unless a longer period is needed for an active matter.
Security and account responsibility
We use access controls, HTTPS, restricted administration and routine backups. No online system is completely risk-free. Keep your username and password confidential, use accurate recipient email addresses and contact us promptly if you suspect unauthorised access.
Your rights
Subject to the Data Protection Act, 2019, you may ask to access, correct, restrict, object to, port or delete personal data, and may withdraw consent where processing depends on consent. Some information may be retained where the law permits or requires it. Send requests to the support email above. We may verify identity before acting on a request.
You may also raise a concern with Kenya’s Office of the Data Protection Commissioner.
Children and third-party information
The service is intended for adults and businesses. Do not create an account for a child or enter a child’s personal information unless you have lawful authority and the information is genuinely necessary. If you include another person’s information in a document, you are responsible for having an appropriate basis to do so.
