Invoices & Receipts Guide
Organise the facts behind your business paperwork before choosing a layout.
Start with the purpose
An invoice requests payment for specified goods or services. A receipt records a payment received. Be clear about which record you are preparing and do not describe an unpaid amount as paid.
Details to gather
Have the business and customer names, contact details, document reference and date ready. For itemised work, collect descriptions, quantities, rates and any agreed adjustments. Identify the currency and check the totals. Include a payment reference only when it corresponds to a real transaction.
Review before sharing
Match the document to the underlying sale or service. Check the document number, arithmetic, payment status and recipient. Keep descriptions specific enough to be useful without exposing unrelated personal information.
Important limits
A presentable invoice or receipt is not, by itself, proof of compliance with tax or other official requirements. Check the requirements that apply to your business and use any separately required official invoicing process.
