Choose the record you need
Examples of workplace paperwork include meeting notes, internal requests, work summaries and action records. Start with the purpose of the record rather than copying sections that do not apply.
Gather the key facts
Prepare the title, date, relevant team or department, author and reference if one is used. For actions, identify the person responsible, the next step and any agreed due date. Distinguish decisions from suggestions or items still awaiting approval.
Use clear and factual wording
Record what happened or what was agreed without adding unsupported conclusions. Check names and job titles. Make the record understandable to someone who was not present, while excluding private or irrelevant discussion.
Handle sensitive matters carefully
Limit access to personal, employee or confidential business information. A general template is not a substitute for appropriate review of employment contracts, disciplinary records, dismissal notices or other high-stakes documents.
